Whether you use our Data Validation Center (DVC) or have payroll integration established for your plan, it is best practice to include all census data, including dates of birth, hire, termination and rehire, as well as email addresses, for all employees on your contribution file. The contribution file should include all employees who worked during the pay period you are submitting (regardless of eligibility or active participation).
This will allow you to take full advantage of the services offered by American Trust Retirement, such as e-delivery of notices/disclosures. In addition, if we have all employees, prior to their eligibility date, we can assist you in notifying employees when they become eligible. It all starts with getting complete data from the contribution file.
Most census data that should be included in your contribution file is information you already have and are tracking. Information like email addresses and hours worked during the pay period are easily exported from your current payroll system.
Your Client Service Manager can help make sure your payroll file template is the current version with all applicable census data fields.
