eDelivery Newsletter

Electronic delivery (e-delivery) has become a central component in communicating with participants.
With the variety of notices and disclosures required today, e-delivery offers a modern, timely approach
to delivering them. We offer e-delivery services to our clients at no additional cost.

There are multiple benefits to your plan utilizing our e-delivery service:

  1. Cost Savings: The printing and mailing of notices and disclosures are not cheap.
E-delivery drastically reduces or in some cases, eliminates these costs.
  2. Faster, More Reliable Delivery: Plan notices and disclosures are delivered instantly,
providing participants with timely access to plan information.
  3. Increased Participant Engagement: Many participants prefer to access information online.
E-delivery provides participants with access to plan information where they already are – on their
    mobile or personal devices.
  4. Improved Recordkeeping and Compliance: E-delivery provides clear audit trails,
reducing the risk of lost documents or incomplete distribution records.

Participants maintain important rights under the e-delivery rules. Participants retain the right to:

  • Request a paper copy at no cost to them.
  • Retain the right to opt out of e-delivery entirely.
  • The ability to update their contact information, including email, at any time.

Participants maintain important rights under the e-delivery rules. Participants retain the right to:

  • Work with your Client Service Manager to make sure your payroll files have mailing addresses and
email addresses for all current employees, including those currently ineligible for the plan.
You can also provide a census upload with the required information while working to update your
payroll files. Any terminated participant without a mailing address and email address (must be a
non-work email) will not be set up for e-delivery.
  • Any time a notice or disclosure is uploaded to the web, you will go out to Sponsor Web and access
the eDelivery Opt Out Report. This will include all current and former employees who are not set up
for e-delivery or who have chosen to receive their information via hard copy. You will then send
the notice or disclosure to those on the list.
  • We offer an additional service, mailing notices or disclosures for you. Please reach out to your
Client Service Manager for pricing and sign-up information.
